FTC Part-Time Festival Administrator

Organisation sits at the heart of this varied administrative role. Working across speaker coordination, supplier management and event logistics, you'll help ensure everything is in place for a successful programme of events. This is a part-time, self-employed fixed-term contract running from December 2026 to May 2027.
Location
Duties for this role include, but are not limited to:
- Coordinate travel, accommodation and contracts for Festival speakers.
- Prepare speaker schedules, event documentation and information packs.
- Liaise with speakers, agents, volunteers and suppliers to coordinate Festival arrangements.
- Support the production of the Festival programme by gathering biographies, event information and supporting content.
- Coordinate bookings with venues, hotels, AV suppliers and other external providers.
- Assist with the administration of Festival competitions, education and community initiatives.
- Prepare meeting agendas, attend meetings and produce accurate minutes.
- Support the day-to-day administration and operational delivery of the Festival.
- Welcome speakers and provide on-site support during Festival events where required.
- Work closely with colleagues across programming, marketing, sponsorship, finance and volunteer teams to ensure the successful delivery of the Festival.
Skills / Qualifications
The ideal candidate will be highly organised, resourceful and confident managing multiple priorities within a fast-paced environment. You'll possess excellent written and verbal communication skills, strong IT proficiency and exceptional attention to detail, together with the ability to work independently and collaboratively as part of a small team. Experience within events, festivals, publishing, arts or administration would be advantageous, alongside a genuine enthusiasm for literature, culture and community events. Flexibility to support the Festival during busy periods, including occasional evenings and weekends, is essential.
