Assistant Administrator - Private Client

Duties for this role include, but are not limited to:

  • Assist with the day-to-day administration of a client portfolio under the supervision of senior team members.
  • Liaise with clients and intermediaries as required, with appropriate guidance and support.
  • Monitor the central diary system and help ensure important deadlines are met.
  • Participate in client review processes to develop knowledge and practical experience.
  • Prepare meeting minutes, correspondence and other client documentation.
  • Assist with billing activities and the collection of outstanding debts.
  • Prepare cheques and letters and arrange the payment of bills on behalf of client entities.
  • Maintain accurate and well-organised client records and files.
  • Undertake routine administrative duties, including scanning, filing, photocopying and document preparation.
  • Provide general administrative support to colleagues across the team.
  • Follow internal risk and compliance procedures, regulatory requirements and AML legislation.
  • Complete required continuing professional development activities in line with internal procedures.
  • Work towards agreed chargeable-time and performance targets.
  • Undertake any additional duties required by management.

Skills / Qualifications

The ideal candidate will hold a minimum of A-level qualifications or equivalent and be interested in developing a career within financial services and client administration. They will have excellent attention to detail, good analytical and communication skills and the ability to organise their workload, prioritise effectively and meet deadlines. An enthusiastic and helpful approach is essential, together with reliability, discretion and the ability to handle confidential information appropriately. Previous office experience would be beneficial but is not essential, as support and training will be provided.
