Duties for this role include, but are not limited to:

  • Administering a portfolio of complex fiduciary structures in accordance with client service agreements and regulatory requirements.
  • Ensuring all administration is carried out in line with up-to-date tax and legal advice, with support from senior management where required.
  • Delivering a consistently high standard of client service through clear, timely and professional communication.
  • Liaising with beneficiaries, investment advisers, bankers, auditors, lawyers and other professional advisers.
  • Managing invoicing and debt collection proactively and within agreed timeframes.
  • Maintaining a thorough understanding of client transactions and ensuring entity records, minutes and meeting notes are accurate and up to date.
  • Supporting the team lead with day-to-day team management and operational oversight.
  • Supervising, mentoring and supporting the development of junior team members.
  • Delegating routine administration tasks while retaining oversight to ensure quality and timeliness.
  • Overseeing projects as requested and ensuring delivery within agreed deadlines.
  • Identifying and managing fiduciary risk factors, escalating trigger events where appropriate.
  • Providing on-the-job training and sharing technical knowledge within the team.
  • Taking responsibility for FATCA, CRS, payment procedures, fiduciary reviews and audit action points, liaising with auditors as required.
  • Maintaining awareness of industry developments, including legislative changes and market conditions.
  • Acting as a bank signatory within agreed limits.

Skills / Qualifications

The ideal candidate will have proven experience within regulated financial or professional services, with strong organisational and supervisory skills. They will demonstrate sound technical knowledge of fiduciary administration, confidence managing complex client structures and the ability to build effective relationships with clients and professional advisers. Holding a relevant professional qualification such as STEP or ICSA is required. Strong IT skills, a proactive approach to personal development and the ability to balance technical accuracy with commercial awareness are essential for success in this role.
