Our client is seeking an Operations Assistant to join their team on an initial 3-month contract to support day-to-day facilities and workplace operations. The position focuses on delivering a high-quality service across internal teams, clients and external providers.

Duties for this role include, but are not limited to:

  • Supporting the smooth running of front and back of house operations across the business.
  • Acting as a central point of contact for internal teams, clients and service providers.
  • Responding to internal and external enquiries in a professional and timely manner.
  • Assisting with space management and workplace allocation requirements.
  • Supporting onboarding of new employees including workspace setup, access cards and inductions.
  • Managing employee queries relating to day-to-day operations and escalating where necessary.
  • Coordinating internal communications relating to operations, safety and compliance.
  • Managing cleaning, catering and stationery services.
  • Supporting the delivery of front of house and client experience standards.
  • Managing planned, preventative and reactive maintenance activities.
  • Overseeing post distribution and general office logistics.
  • Acting as the point of contact for the operations helpdesk.
  • Supporting health, safety and environmental compliance processes.
  • Assisting with budgeting, reporting and administrative tasks.
  • Supporting client events alongside business development teams.
  • Identifying opportunities for operational improvements, cost efficiencies and enhanced workplace experience.
  • Supporting out-of-hours or emergency operational issues where required. 


Skills / Qualifications

The ideal candidate will have experience in a similar operations, facilities or administrative role within a professional environment and demonstrate confidence to act as deputy to the Assistant Operations Manager where required. They will possess strong communication and interpersonal skills, with the ability to engage effectively with colleagues, clients and service providers at all levels. They will be highly organised, adaptable and able to manage multiple tasks, schedules and priorities efficiently while maintaining attention to detail. A basic understanding of building systems, health and safety and environmental regulations would be advantageous, along with proficiency in Microsoft Office applications. The successful individual will be proactive, solution-focused and a strong team player with a positive, "can do" approach.
