Our client, a professional and dynamic organisation with a specialist approach to fund administration, is seeking to recruit an Assistant Manager for their Private Equity Fund Administration Team.

Assist the team manager in supervision, monitoring and appraisal of the team.
Deputise if required during Line Manager Absences.
Assist with the training and development of staff.
Provide cover to other sections in times of need.
Support with all aspects of general administration of clients when time frames allow.
Utilise the available new business resource, deliver the efficient take-on process for all entities in line with the company processes.
Act as a first point of contact for client enquiries and to deliver a professional and competent response.
Prepare and review regulatory applications as part of the general partner and fund set-up process.
Review and comment on client documents including LPAs and other agreements.
Draft services agreements at take-on.
Assist with the production and review of new promoter files, checklists and collation of information required to obtain compliance approval.
To successfully on-board clients within the launch deadline meeting client take-on expectations.
Ensure smooth handover prior to first closing to Operations team.
Track and update new business from existing clients.
Achieve the objectives and initiatives set by and agreed with the new business manager from time to time.
Look for opportunities to create new procedures or improve existing processes.
Liaise confidently and knowledgably with the clients.
Proactive approach to problem solving.
Understand and execute delegated elements of new business processes.
Coordinate and arrange board meetings of general partners of funds and other companies administered in the team and ensure that all AGM’s, proxies and notices are dispatched in a timely manner.
Maintain quality and control of processes and meet deadlines for meetings.
Attend board meetings.
Assist with taking of minutes and presentation of reports.
Support with the smooth running of the investment, and call and distribution process.
Attend internal meetings organised with relevant personnel to establish the required tasks and deadlines to be undertaken internally, once investment recommendations have been received
Liaise with key personnel in client groups to ensure that all operational issues are communicated effectively.
Assist with ensuring all client requests are responded to in a timely fashion.
Support with maintaining on-going review and updating of procedures for the team.
Ensure the compliance monitoring of the funds are adhered to by less experienced administrative staff at all times.
Assist the fund accountants with the control and production of management, interim and audited accounts for all the team’s clients.
Control and monitor the bookkeeping process.
Review the ledgers on a regular basis.

Skills / Qualifications

The ideal candidate will have at least 3 years’ working within a financial institution, preferably within Private Equity and will hold a relevant professional qualification such as ICSA certificate or diploma. The successful applicant will have a general knowledge of banking systems, strong IT skills and the ability to work under pressure. The role will suit a creative, confident individual, with good communication skills, can deliver pragmatic solutions and the ability to reflect and review on their actions and motivate the team.
