Our client, a full service community bank and a provider of specialised international financial services, is seeking to recruit an Administrative Assistant.

Understand and apply the highest levels of client service at all times.
Ensure that the Bank is represented in a professional manner at all times through good conduct.
Provide administrative support to our Executive Committee members as necessary, to include diary management, preparation for meetings, workflow support and travel planning.
Assist the Company Secretary in the preparation and circulation of Board documents.
Organise and support visitors, both external and staff members from our other offices and assist with travel
arrangements and organising their schedule of meetings whilst in the Guernsey office.
Assist in coordinating business travel for various staff members, adhering to Bank policy and insurance requirements. Assist in organising dinners and events for various occasions e.g. Executive Committee offsite meetings and Board dinners.
Prepare and distribute meeting schedules as required, booking flights and accommodation.
Assist the Executive Assistant with ad-hoc duties.
Provide administrative and secretarial support to various departments, prioritising accordingly.
Prepare quarterly review letters for the Asset Management department and the subsequent delivery of these letters with accompanying reports within the required deadline.
Provide cover for Reception area, the Executive Assistant and other Administrative Assistants as required.
Provide administrative support as necessary for both external and internal meetings, such as booking and provision of serviced meeting rooms, sending out invitations and liaising with external caterers if required.
Assist in coordinating attendance to ad-hoc in-house presentations.
Assist in preparing agendas and taking and typing up of minutes from internal committees and meetings.
Recommend, as and when identified, any improvements which would enhance efficiency, risk control and service quality.

Skills / Qualifications

The ideal candidate will be educated to an A Level standard or equivalent, with good English and Maths. Candidates will possess considerable experience in a similar role. Candidates will demonstrate a range of experience and knowledge in File Site, and T24, in addition to solid IT abilities, strong organisation and communication skills, both written and verbal. The successful candidate will demonstrate the ability to effectively manage time, prioritise tasks and meet deadlines, whilst working within a team as well as independently. This role will suit a highly motivated, proactive and meticulous team player with excellent interpersonal skills.
