This 9-month contract offers a brilliant opportunity for an experienced assistant to work closely with Partners and fee-earners across two varied legal practice areas. You'll take ownership of a broad range of organisational and secretarial tasks while helping ensure deadlines and client requirements are handled efficiently. Strong administrative experience matters most, with law firm experience an advantage rather than a requirement.
Location
Duties for this role include, but are not limited to:
- Provide organisational and secretarial support to Partners and fee-earners.
- Arrange appointments, meetings, meeting rooms and business travel.
- Prepare and amend correspondence, engagement letters and other documentation.
- Handle scanning, filing, document retrieval, copying and general team administration.
- Process expenses and maintain relevant budget information.
- Prepare payment instructions and manage third-party disbursements.
- Support the billing process, including WIP reviews, invoice preparation and distribution.
- Ensure billing deadlines and approval requirements are met.
- Organise training sessions for trainee solicitors and paralegals.
- Support the planning and coordination of client events.
- Maintain team CPD records.
- Provide support to other Business Assistants and departments where required.
Skills / Qualifications
The ideal candidate will have previous secretarial, assistant or strong administrative experience, ideally gained within a law firm, although candidates with relevant organisational experience from professional or financial services will also be considered. You'll be accurate and highly organised, with excellent attention to detail and the ability to prioritise effectively when working under pressure. A confident and professional communication style, flexibility and good initiative are essential, alongside strong Microsoft Word and Excel skills. Previous secretarial training would also be advantageous.
