Our client, a large group offering facilities and security management services, requires a Temporary Service Desk Administrator.

Ensure that customers enquiries are dealt with efficiently and with the highest standards of customer care.
Carry out all general administration functions for the FM business unit.
Ensure that all data is accurately and timely entered into the systems and to ensure all invoicing is completed on time.
Ensure that all administration tasks are completed within the requirements of quality standards.
Provide receptionist duties as and when required.
Liaise with Reactive and Contracting Team managers in terms of availability of their engineers and raising jobs on FM maintenance systems.
Set up Customers and Jobs on FM maintenance systems.
Input timesheets and worksheets for customers on FM maintenance systems, ensuring all time is signed off by the relevant line manager including customer’s computer assisted facilities management systems (CAFMs) as required.
Schedule PPM and reactive works with customers.
Purchase orders to be allocated to each job following receipt from the Finance department and ensuring consumables are posted to jobs.
Distribute incoming and outgoing post and administration associated with this.
Daily banking as and when required.
Arrange travel for Engineers/Guernsey staff as and when required.
Assist the Operations Manager with general administration duties.
Assisting the PPM Contracts Administrator as and when needed.
Scan job sheets into a central directory.
Update financial spreadsheets under direction of the Operations Manager.

Skills / Qualifications

The ideal candidate will possess a minimum of 2 years' experience in a similar role, hold a customer service qualification and have basic bookkeeping knowledge or hold an accountancy qualification. The successful candidate will demonstrate a range of experience and knowledge in CAFM Systems and have excellent Microsoft Office skills. The role will suit a highly motivated individual, with excellent customer service, interpersonal and organisation, communication skills, great attention to detail and the ability to read and interpret engineer reports. The applicant will be flexible, be able to meet deadlines, have the ability to adapt to change and the desire to develop whilst working in a busy and pressured environment.
