An individual with previous experience of providing high quality secretarial support, a RSA or OCR qualification and knowledge of medical terminology and the ability to audio and touch type is required for an initial 3 month contract.

Responsibilities

Assist with typing letters from the outpatient clinic attendance, referral letters, medical reports and other correspondence using the digital transcription service as part of the letter generation process.
Act as a Personal Assistant to the consultants and allied health professionals, managing their diary and providing administrative and secretarial support.
Manage telephone and face to face enquiries in a caring and professional manner, sensitive to the needs of the patients and be able to respect patient confidentiality.
Provide a comprehensive support service to the consultants including administration, e-mailing, typing letters, reports, filing, photocopying, scanning, arranging study leave, minute taking, travel arrangements and post distribution.
Coordinate clinics and liaise with other PAs, consultants, allied health professionals and patients to arrange appointments.
Establish links with various external agencies as appropriate, to ensure smooth flow of information on referrals, the coordination of tests and hospital investigations and the provision of medical equipment.
Arrange investigation appointments for patients to have appropriate tests.
Ensure accurate and timely input of information concerning patients to the computerised patient in house system.
Offer support with obtaining and tracking patient notes to and from the Consultants office.
Provide cover for colleagues on annual or sick leave and to assist with ensuring that the department is staffed during normal working hours.
Undertake any other duties commensurate to the post.

Skills / Qualifications

Applicants will possess excellent organisation and administrative skills, as well as effective communication skills with people at all levels, and a polite and professional telephone manner. Strong Microsoft Office skills are required, including email, spreadsheets and word processing, as is a versatile approach and the ability to adapt readily to new situations. They will require initiative, independent judgement and resourcefulness to perform complex administrative, technical and secretarial duties. The role will suit a resilient, diplomatic individual with the ability to listen and effectively interpret and understand information, demonstrate sound grammatical technique and manage time and plan workloads.
