Our client requires a Temporary Personal Assistant until January 2020.

Guernsey, Channel Islands

Responsibilities

Coordinate and minute weekly team meetings, as well as undertaking actions from the meeting, booking new assessments and sending out appointments.
Assist the managers and teams by organising their daily working schedules with reminders regarding commitments.
Offer support with booking rooms for members of the team.
Create, amend or update letters.
Undertake telephone contact with 3rd parties, dealing with them in a confidential and professional manner. To deal speedily and efficiently with urgent situations, which may arise.
Provide cross-cover in the absence of colleagues.
Hold responsibility for the establishment and maintenance of the client database.
Ensure effective systems are established and monitored for the administration of staff, to include efficient filing and retrieval of information.
Offer support with keeping accurate records of all departmental activity, for example, statistical information, reports and other information.
Act as the first point of contact and liaison for the managers and teams.
Maintain and develop existing skills and to undertake additional training courses as identified with manager.
Undertake any other duties as requires.

Skills / Qualifications

The ideal candidate will have experience in a similar role, will hold a minimum RSA II/III, with the ability to understand and maintain confidentiality at all times. Applicants will have excellent typing and audio skills and knowledge of Microsoft Office programmes. The successful candidate will have proven organisational skills with the ability to manage their own workload in order to meet deadlines and work on their own initiative to a high standard. The role will suit a self-motivated individual with excellent communication skills, the ability to cope under pressure, the willingness to work as part of a team and the ability to work accurately in a pressurised environment.
