Temporary Personal Assistant

Our client, an international and long standing bank requires a Temporary Personal Assistant for an initial period of 6 months.

Responsibilities

Assisting the Directors in the organisation of their meetings, correspondence, calendars and any ad hoc requests.
Organising various meetings for the Board and other committees and coordinating telephone conferences or email circulation meetings.
Managing the training schedule for all staff and preparing CPD certificates.
Providing cover on reception and welcoming all visitors to the office.
Supporting the trust administration teams with the drafting of trustee and company minutes, as well as producing client letters.
Assisting the Company Secretary with the documentation of high standard committee minutes, including the attendance, drafting and distribution of meeting minutes.
Recording all Board and company decisions, providing sufficient detail of the rationale of the committee’s decision and documenting evidence of discussion on such matters.
Liaising with HR and external parties for the smooth onboarding of new temporary staff.
Coordinating audit findings and liaising with the business regarding any improvements to existing processes.

Skills / Qualifications

The ideal candidate will have relevant experience including minute taking, preferably within the finance sector, and will demonstrate a highly proactive and organised approach.
