Our client, an independent group of companies providing asset administration and management services, requires a Temporary Office Administrator for a period of 6 months.

Guernsey, Channel Islands

Responsibilities

Coordinate the office maintenance to ensure the office is running smoothly and efficiently, including duties such as reading of photocopier meters, ensuring locks are secure and that doors are fully functional.
Keep track of office supplies and place orders when necessary.
Coordinate the archive process to ensure that archive boxes are retrieved, sorted and organised in a timely manner.
Ensure that relevant lists including telephone details, fire marshal lists and circulation lists are updated and distributed regularly.
Conduct clerical duties including filing, scanning, answering phone calls, updating floor plans and uploading onto the company intranet.
Manage outgoing post, operating the franking system and record data on special deliveries.
Assist with the delivery of internal post, scanning relevant documents and distributing mail to individuals.
Ensure that all items delivered to the office are logged and distributed quickly.
Provide cover for reception as required in a professional and welcoming manner.
Assist with administrative duties and ad hoc projects as directed.

Skills / Qualifications

The ideal candidate will be educated to at least GCSE standard, with excellent communication and IT skills, both face to face and over the telephone. Applicants will demonstrate a professional and engaging personality along with a positive and calm ‘can do’ attitude, and the ability to work under minimum supervision. The successful candidate will be flexible and provide cover for colleagues when necessary, and will have strong time management and organisational skills.
