Our client, a provider of administration of trust, company and foundation structures for both private and corporate clients, is seeking to recruit a Senior Administrator for their Real Estate Team.


Guernsey, Channel Islands


Assist the manager on a daily basis with the team’s workload.
Administer a portfolio of companies owning commercial properties.
Deal with all aspects of property transactions including purchases, sales, tenancy agreements, loan financing and liaise with external parties such as lawyers, asset managers and property managers.
Demonstrate an ability to draft minutes and certain legal documents such as Powers of Attorney, Letters of Authority, Deeds of Appointment, Deeds of Indemnity, and be able to undertake preliminary reviews of external legal documents to highlight errors or discrepancies.
Maintain the statutory records whilst liaising with the compliance department.
Clear events raised following annual reviews.
Attend client meetings, preparation of agenda, taking minutes and follow up on transaction points raised.
Ensure that all payment and receipts have been processed and updated and the bookkeeping records are maintained.
Ensure all KYC documentation on clients are maintained.
Incorporation/ dissolution of entities.
Prepare reports and statements.
Train junior members of staff as required by management.
Ensure that all administration and client service issues are attended to in accordance with the company’s service standards and company procedures manual in force at any given time.
Attend to correspondence and telephone calls with the clients and other service professionals in a timely and efficient manner.
Input and keep up to date timesheet records to meet deadlines as set by the Finance Director.
Produce letters from standard templates in accordance with the company’s procedures.

Skills / Qualifications

The ideal candidate will have previous experience in property structures and or dealing with private and corporate clients. Preference will be given to candidates who either hold or are studying towards relevant professional qualifications such as ICSA, STEP or IFS Trustee Diploma. Preference will also be given to candidates who hold knowledge with AML, Risk Assessment, Regulations and Legislations. Applicants will display proficiency with Microsoft Outlook, Word and Excel whilst also demonstrating excellent written and verbal communication skills. The successful candidate will display the ability to work under pressure adhering to deadlines and be agreeable to working extended hours, such as property exchanges and completions. This role will suit a dynamic and proactive team player with strong interpersonal skills.
