Our client, a large commercial organisation is seeking to recruit an Executive Personal Assistant.


Guernsey, Channel Islands


Hold responsibility for the extensive diary management for the Managing Director including securing and recording external appointments.
Arrange and schedule travel for Managing Director/Finance Director and other board members.
Plan and coordinate meetings, conferences, workshops and any other business events, including travel arrangements.
Maintain responsibility for the organisation of internal meetings between the Managing Director and other members of staff.
Screen phone calls, enquiries and requests.
Deal with incoming emails/post - corresponding on behalf of Managing Director.
Liaise with other board members, department heads and other in-house staff.
Prepare electronic and hard copy board packs on a quarterly basis.
Record accurate minutes of management meetings.
Compile notes and reports as requested.
Support the wider Ops team interactions with the Managing Director where appropriate.
Prepare letters for signing by either director.
Act as the first point of contact for the business when visitors attend the office and ensuring they are greeted and welcomed appropriately.
Monitor phone switchboard, take and relay accurate and timely messages from callers, and answer queries where possible.
Deal with incoming post and redirecting to the correct departments and garden centres.
Create and maintain systems to manage and support efficient operation of the office.
Manage the Head Office kitchen such as ordering cleaning & stationary supplies.
Extended booking travel and accommodation for the whole group.
Assist other departments with administration support as and when required.

Skills / Qualifications

The ideal candidate will be educated to A Level standard or equivalent with good Maths and English, along with considerable experience in an office environment, demonstrating strong communication skills and good attention to detail. Applicants will be IT literate and be able to prioritise workloads, as well as meet strict deadlines. The successful candidate will have good numeracy and problem solving skills and be competent in planning. This role will suit a highly organised and proactive team player, who takes pride in their work and applies accuracy to all duties.
