Our client, a multi-jurisdictional law firm, is seeking to recruit an Assistant Office Manager.

Location

Guernsey, Channel Islands

Responsibilities

Supporting with repairs and maintenance.
Monitoring, reporting and overseeing contractor access.
Checking work is completed correctly.
Handling general office management such as keeping the office neat and tidy and checking & restocking First Aid boxes (monthly).
Managing invoice reconciliation and management.
Ensuring stationery supplies are adequate and maintaining the area.
Placing orders, including CC Printed items and business cards – new and replacement stocks.
Administering security pass cards for new joiners and retrieving pass cards from leaving members of staff.
Supporting with online system activation and deactivation.
Acting on staff queries re Stationery, pass cards and office maintenance.
Managing the Reception team and ensuring the smooth running of reception.
Receiving and distributing ingoing and outgoing mail and courier packages for the office.
Acting as the point of contact for local suppliers in conjunction with the Group Head of Facilities, and assisting with managing following up actions to a satisfactory cost effective conclusion within a reasonable time frame.
Liaising with the Landlord’s Building Manager for 3rd party inspections or for any access they may require.
Handling out of Hours cover for onsite emergencies.
Ensuring the confidentiality and security of firm and client related documentation and information.

Skills / Qualifications

Candidates will possess previous experience in a customer services or facilities role, preferably in a legal, financial or professional services organisation. The candidate will be reliable and punctual and be able to work unsupervised with knowledge of MS Office Suite. The candidate will be able to communicate effectively at all levels, both verbal and written and will have a flexible approach and be keen to learn.
