Our client, a leading offshore provider of legal and administration services is seeking to recruit an Afternoon Receptionist.

Guernsey, Channel Islands

Responsibilities

Provide a professional, courteous and efficient first point of contact for clients, colleagues and suppliers visiting or telephoning the office.
Maintain and coordinate bookings of our client suite, taxis and refreshments from our suppliers.
Act as a point of contact for the collection of documents and client due diligence.
Provide hospitality support for the meeting rooms and kitchen area.
Ensure incoming and outgoing deliveries are dealt with quickly and efficiently.
Maintain a safe and tidy client suite and reception area ensuring all procedures and regulations are complied with.
Process all supplier invoices with in the service level agreements.
Manage the central office visitor calendar and coordinate desk movements.
Assist with the administration duties in a limited capacity.
Assist with organising Business Development meetings, including on occasion booking of restaurants and/or hotels, travel arrangements, preparing full itineraries, collating all supporting material and recording BD activities on the in-house system.
Photocopying and scanning.
Input updates on the firm intranet.
Support other team members in busier periods across all the teams.
Actively participate in team meetings, community/social events and such other duties as the firm may reasonably require from time to time.

Skills / Qualifications

The ideal candidate will be educated to an A Level standard or equivalent, with good English and Maths. Candidates will possess prior experience in a Reception or Client Facing based role. Candidates will demonstrate a range of experience and knowledge in document management, in addition to solid IT abilities, strong organisation and communication skills, both written and verbal. The successful candidate will demonstrate the ability to effectively manage time, prioritise tasks and meet deadlines, whilst working within a team as well as independently. This role will suit a highly motivated, proactive and meticulous team player with excellent interpersonal skills.
