Administration & Reception Assistant

Our client, one of the leading offshore providers of legal and administration services, is seeking to recruit an Administration & Reception Assistant.




Provide a professional, courteous and efficient first point of contact for anyone visiting, or phoning the office.
Maintain and coordinate bookings of client meeting rooms, taxis, food / refreshments and provide hospitality support.
Ensure that incoming and outgoing deliveries are dealt with quickly and efficiently.
Assist with administrative duties, as necessary.
Undertake copy and audio typing of various documents, briefing notes and precedents, including the preparation of invoices.
Organise Business Development meetings, including booking restaurants and/or hotels, travel arrangements, preparing full itineraries, collating all supporting material and recording BD activities on the in-house system.
Carry out photocopying / scanning duties and maintaining the electronic filing system.
Support other team members, in busier periods across all the teams.
Actively participate in team meetings, social events and such other duties, as the firm may reasonably require from time to time.

Skills / Qualifications

The ideal candidate will have a good academic background, with a high level of literacy and administrative experience within a legal or professional services environment. Applicants will have fast and accurate typing skills, both audio and copy, as well as document management experience. It is essential to be proficient in Word/Outlook and have working knowledge of Excel. The successful candidate will have superior organisational skills, with a disciplined approach to documentation and the ability to efficiently manage own time and prioritise workflow.
